1. How Elephate.ai uses artificial intelligence

Elephate.ai uses artificial intelligence (AI) to accelerate and improve the estimation process for installation companies. Our AI models are developed and trained on installation engineering documents, specifications, drawings and notes of information. The goal is to support estimators in their work, not to replace them.

2. Data processing and STABU standards

When you upload documents to Elephate.ai, they are processed by our AI models. The system extracts relevant data such as quantities, material specifications and dimensions. All components are automatically categorised according to the STABU system, the standard for the Dutch construction sector.

The AI generates estimates based on your company data, standard calculation methods and your own configurations. Every estimate includes a full audit trail, so you can see exactly how the result was produced.

3. Human-in-the-loop approach

Elephate.ai maintains a strict human-in-the-loop approach. This means that:

• AI-generated estimates are always presented for review by a human expert before they become final.
• The system shows confidence scores per category, so the estimator knows where extra attention is needed.
• Corrections you or your users make are applied within your own company environment to improve your results.
• The final responsibility for every estimate always lies with the user.

4. Your data and your models

• Your uploaded documents and estimates are not used to train, calibrate or refine our models or algorithms for the general operation of the platform, unless expressly agreed with you as part of an implementation, configuration or pilot project.
• Your documents and estimates are not shared with other users. We share your data only with the sub-processors we engage (such as hosting and AI service providers) to the extent necessary to provide the service.
• Your company data always remains yours.

5. Data security and processing location

• All data is stored encrypted and transmitted via SSL/TLS.
• We use OAuth2 authentication via Auth0 for secure access.
• During pilot and implementation projects (the development phase) we use sub-processors, including AI or language model providers, who may process your data outside the European Economic Area (EEA). Where personal data is transferred, this is based on a valid transfer mechanism under the GDPR, including the Standard Contractual Clauses.
• In the fully operational service (the production phase) we aim to carry out processing entirely within the EEA. This is a best-efforts intention; we give no guarantee unless expressly agreed otherwise in writing with you.
